FreshLIMS is a UK-based provider of laboratory information system software. Our public website (this site) and our customer-facing applications process personal data on behalf of our visitors and customers as described in this policy. Contact us at info@freshlims.com.
What we collect on this website
- Form submissions. When you submit the contact form or trial signup, we receive the details you give us — name, organisation, email, phone (optional), and free-text message. We use these to reply to you and to provision your trial account.
- Visitor logs. We log basic information about every page request — IP address, user agent, page URL, response code, timing — for security, abuse prevention, and capacity planning. Logs are retained for 90 days and then deleted automatically.
- Cookies. We do not currently use marketing or analytics cookies on the public website. Strictly necessary technical cookies may be set to support the site's basic function (e.g. anti-forgery).
Customer data inside FreshLIMS
When you use the FreshLIMS platform as a paying or trialing customer, we process the data your organisation enters (patient records, samples, results, etc.) as a data processor on your behalf. You are the data controller for that data. Our data-processing agreement is available on request.
Your data is hosted in the United Kingdom, encrypted at rest and in transit, backed up daily with restore drills, and protected with role-based access controls. You can request a full export of your data at any time, in line with our Terms.
We send transactional email (welcome messages, password resets, alerts) using third-party email providers acting as data processors under contract. We do not sell or rent email addresses, and we do not send marketing email without your prior opt-in.
Your rights
If you are in the UK or EU, you have rights under the UK GDPR / GDPR — including access, rectification, erasure, restriction, portability, and objection. To exercise any of these rights, email info@freshlims.com.
You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO).
Changes to this policy
We may update this policy from time to time. Material changes will be flagged on this page; the "last updated" date above reflects the most recent revision.
