FreshLIMS vs Reuben LIMS

Reuben LIMS and FreshLIMS are both UK-focused, browser-based LIMS products. They differ most in how you get to a working system: Reuben LIMS is configured to your workflows as a bespoke project, while FreshLIMS is a ready-to-run platform with published prices. This page compares them using what Reuben Digital publishes, and says where Reuben LIMS is the better fit.

The short version.

Reuben LIMS is made by Reuben Digital Ltd, a UK web and software company. It describes the product as a bespoke, cloud-based LIMS "configured to mirror your existing workflows", and it serves a range of sectors, including clinical and diagnostic, pharmaceutical, biotech, environmental and water testing, food and beverage, mining and metals, and research. For clinical and diagnostic labs it says the system can be set up for ISO 15189 and UKAS, with HL7/FHIR connectivity and analyser integration.

FreshLIMS is a ready-to-run cloud platform for independent diagnostic laboratories and the clinics that refer to them, with published tiers from £495 a month, a first month free with no card, and live Westgard QC, microbiology with AST, molecular, serology and genetics workflows already built in.

If your lab's processes are unusual enough that you want a system designed around them, or you need to connect to NHS systems over HL7/FHIR, Reuben LIMS is built for that conversation. If you want to be running on real samples this week at a price you can see, FreshLIMS is.

Bespoke vs ready-to-run

The real choice is how you get to go-live.

A bespoke LIMS starts from your processes. That can be the right call when your workflows are genuinely unusual, when you have to fit an existing quality system exactly, or when you need a specific integration. The trade-off is that scope, timeline and cost are set by the project, and they are usually agreed after a discovery stage rather than read off a page.

A ready-to-run platform starts from a proven diagnostic workflow and asks you to fit it to your lab. That is faster and the price is known up front, at the cost of less freedom to reshape the system around an unusual process.

Neither is better in general. Ask each vendor what it would take, in weeks and in pounds, to get your first real sample through, and who does the configuration. Our LIMS pricing guide lists the costs worth asking about, and switching your LIMS without downtime covers running a new system in parallel.

Reuben LIMS is likely the better fit if…

  • Your workflows are unusual and you want a system designed around them from the start.
  • You need HL7/FHIR connectivity to NHS or third-party systems as a core requirement.
  • You work across several lab types, or outside diagnostics.
  • You have the time and budget for a scoped implementation project.

FreshLIMS is likely the better fit if…

  • You are an independent or growing diagnostic lab working towards or holding ISO 15189 / UKAS accreditation.
  • You want to see the price before you talk to anyone, and try it free for a month.
  • You take referrals from clinics and want them ordering directly into your queue.
  • You want UK hosting, a validation pack and full data export with no lock-in.

What to ask whichever you're considering.

  • What is the total first-year cost, including configuration, validation, integration and support?
  • How long to our first real sample, and who does the configuration?
  • Where will our data be hosted, and under which data-protection terms?
  • What does ISO 15189 and UKAS support mean in practice: which QC rules, audit trail and validation documentation come with it?
  • What is the availability commitment, in writing, and the remedy if it's missed?
  • Can we export everything, in a usable form, and at what cost?
  • Can we speak to a UKAS-accredited lab of our size and type that uses it?
