CloudLIMS pricing explained: what the rate card works out to

CloudLIMS publishes a per-user rate card, which is rarer than it should be. This post turns it into monthly and annual totals at real team sizes, lists what's included, and flags what to confirm before you subscribe. Roughly a 5-minute read.

Most LIMS vendors won't tell you a price without a call. CloudLIMS is an exception: it publishes a rate card on its pricing page. That makes it easy to do the sums yourself, and this post does them for you.

We build a competing product, FreshLIMS, so read this with that in mind. Everything below about CloudLIMS comes from its own pricing page, reviewed in October 2026. Prices change, so confirm anything you are going to budget against with CloudLIMS directly.

How CloudLIMS charges

CloudLIMS prices by seat. Rates are in US dollars, per user per month, billed annually. There is a minimum number of users, and the minimum depends on which plan applies to your lab:

  • In-house testing labs and biobanks: minimum 3 users.
  • Cannabis and clinical diagnostics (third-party) labs: minimum 4 users.
  • Third-party testing, veterinary, and commercial or third-party biobanks: minimum 5 users.

The per-user rate falls as the user count rises.

The published rate card, as monthly and annual totals

Users Per user / month Monthly total Annual total
3 (in-house plan)$310$930$11,160
4 (clinical diagnostics plan)$270$1,080$12,960
5$285$1,425$17,100
10$200$2,000$24,000
25$100$2,500$30,000
50$66$3,300$39,600
100$42$4,200$50,400

Per-user rates are from CloudLIMS's published pricing page. Totals are our arithmetic (users × rate, billed annually). The page doesn't state a price for user counts between the listed bands.

How to read it

  • Small teams pay the most per seat. At 3 users the rate is $310; at 10 it is $200; at 100 it is $42. A very small lab pays the highest unit price, though the total stays modest.
  • The cost still climbs with headcount. The per-seat discount is real, but each step up the card raises the total, from $930 a month at 3 users to $4,200 at 100.
  • Which plan you're on matters. The 4-user clinical diagnostics rate ($270) is lower than the 5-user rate ($285) on the same page, so confirm which plan and band apply to your lab rather than reading across the table.
  • "User" is the unit that moves. A diagnostic lab often has staff who touch the system briefly each day: reception, phlebotomy, couriers, the clinicians who order. Ask how CloudLIMS counts them, and whether client or patient portal logins count as users.

What's included

CloudLIMS lists two feature tiers, Standard (described as for in-house testing labs and biobanks) and Enterprise (described as for third-party labs and biobanks). Enterprise adds, among other things, a patient portal, a client portal, workflow and study management, a service and billing module, lab inventory, document management, instrument calibration and maintenance, and a training module. The page doesn't say explicitly which tier comes with each pricing plan, so ask.

It also lists a set of services as no extra charge: workflow configuration, instrument integration, report template setup, legacy data migration, quality management system support, regulatory compliance support, unlimited technical support, product training, continuous upgrades, and secure storage with automatic backups. For comparison purposes that is significant, because those are the lines that usually appear as separate professional-services fees elsewhere. See our LIMS pricing guide for the full list of costs that tend to hide.

What to confirm before you subscribe

  • Which plan applies to you and therefore your minimum user count and per-user rate.
  • Which feature tier comes with that plan, and whether the portals you need are in it.
  • How users are counted, including part-time staff, referring clinics and portal logins.
  • Currency and tax. Rates are in US dollars. For a UK lab, confirm the sterling amount, any exchange-rate exposure and how VAT is treated.
  • Term and renewal. Billing is annual: ask about the minimum term, notice period and any cap on increases at renewal.
  • Trial. A free trial isn't mentioned on the pricing page, which offers subscription and demo options. Ask whether you can run it on real work first.
  • Data hosting and exit. Where the data is hosted, and whether you can export all of it, in a usable format, and at what cost.
  • Fit for diagnostics. CloudLIMS serves many lab types. If you work to ISO 15189 and UKAS, ask for evidence of how it supports QC rules, audit trail and validation documentation in your setting.

How FreshLIMS compares

The two products are priced on different principles. CloudLIMS charges per user, in dollars, billed annually. FreshLIMS publishes tiers by month, in pounds: Founding Lab at £495 a month with the price locked for 24 months, Lab Core at £950, and Lab Pro at £1,750, with the validation pack included from the Founding tier and the first month free with no card.

Which is cheaper for you depends on your headcount, your lab type and what you need in scope, which is why we would rather you did the sum on your own numbers than take either vendor's word for it.
